Check-in Steps

  1. Intimate site supervisor of your arrival, 5 minutes prior to arrival at TeHyCa.

  2. If you are coming in your own vehicle, park at designated space by the road next to the the gate of TeHyCa on the opposite side.

  3. Intimate site supervisor of arrival and wait for their assistance. Keep ID cards of all visitors handy as it will be required for Check-in.

We do not provide early check-in or late check-out. If guests arrive earlier than check-in time, they can leave their luggage and explore around or go sight-seeing and occupy the room as soon as its ready.

Guest cannot choose specific room in a category while booking. On arrival guest can choose from available rooms in the booked category. Guest who's booked most in advance will be given preference of room choice if more than one guest is awaiting a room.

Cancellation policy

TeHyCa operates on a large property with only four rooms. The cost to run and maintain the property remains the same whether occupied or not, so our cancellation policy is applied very strictly to keep rates fair & attractive for all guests.

The price paid for the room is for holding it exclusively for you, whether or not you stay. (Please read the No Exceptions Policy clause below.)

By making a booking at TeHyCa, you agree to the following terms.

REFUND TERMS

Full refund (100%) — courtesy allowance for accidental bookings or if the property is found unfit for your needs. Beyond the same day, standard cancellation terms apply.
11 or more days before check-in Cancelled before 3:00 p.m. on the 11th day prior to check-in Full refund minus ₹2,000 per room per night (cancellation / transaction fee). Example: If you booked 2 rooms for 2 nights, ₹8,000 will be deducted as the cancellation fee.
Within 10 days of check-in Cancellation made anytime within 10 days before 3:00 p.m. of the check-in date No refund. The full booking amount is non-refundable.

Refunds (if applicable) are processed within 10 working days from the time your WhatsApp cancellation message is received.

HOW TO CANCEL

  • WhatsApp is the only official method for cancellations: +91 90254 00932

  • Emails are not checked and are not valid for cancellation.

  • Phone calls are welcome, but only a WhatsApp message counts as proof of timing.

  • Unanswered calls or failure to reach us by phone do not count as cancellation notice or proof.

  • Include in your WhatsApp message:

    • Name on booking

    • Contact number

    • Booking details (check-in & check-out dates, number of rooms, booking reference number)

    • Reason for cancellation

  • If messaging from a number not on the booking, please attach a screenshot of the booking reference for verification.

NO EXCEPTIONS POLICY

At TeHyCa, we understand that guests don’t cancel without a serious reason — it’s almost always due to an unexpected situation or emergency.

We also understand that cancellations can arise from the most serious and unforeseen circumstances, including deeply personal losses.

However, please understand that even in such situations, our policy remains the same and no exceptions can be made.

All cancellations, regardless of reason, will follow the terms stated here.

We do not provide refund exceptions for any reason, including:

  • Illness, accidents, death/bereavement, or personal/family emergencies

  • Travel delays, road closures, or weather conditions at your location or along your route

  • Local weather at TeHyCa (unless a Government Red Alert or official order prevents us from operating, in which case guests may reschedule their stay within 90 days from the original check-in date, subject to room availability and paying only the tariff difference if any).

OTHER TERMS

  • TeHyCa may cancel a booking at any time — even during your stay — for reasons such as:

    • Equipment failure or maintenance

    • Urgent repairs or operational issues

    • Staff shortages or safety concerns

    • VIP or dignitary visits

    • Because TeHyCa serves primarily as the residence of the founding family, and your booking may be cancelled to accommodate their private guests.

  • In all such cases, a full refund (100%) will be issued.

  • In situations where TeHyCa is unable to operate due to official Government orders (not initiated by TeHyCa), such as Red Alerts during extreme weather, or other official closures such as strikes, harthal, bandh etc., no refund will be issued.

Instead, guests will be offered the option to reschedule their stay within 90 days from the original check-in date, subject to room availability and payment of difference in tariff if any.

  • TeHyCa reserves the right to cancel any booking during the stay without refund in cases of:

    • Guest misbehavior or non-cooperation

    • Illegal activities or causing safety risks

    • Disturbance to other guests, residents, or staff

    • In all cases where TeHyCa cancels a booking — whether before or during a stay, for operational reasons, Government orders, or guest-related issues — TeHyCa will not provide or arrange alternate accommodation. Refunds or reschedules, where applicable, will be processed strictly as per this policy.

THIRD-PARTY BOOKINGS

  • For bookings made through Airbnb, Booking.com, MakeMyTrip, or other platforms — the cancellation policy displayed on that platform applies.

  • Cancellations must be made directly on that platform and not with TeHyCa.

  • Any cancellation requests sent directly to TeHyCa for such bookings are not valid and must be handled through the same platform where the booking was made.

Children Policy

Children are permitted at TeHyCa but on Guardians responsibility. Parents/adults must ensure that their accompanying children must be next to them at all times! Being very careful and giving full attention to children outdoors is imperative for their safety. Look at Terrain/Location challenges.

Child below 3 years of age will have no extra head charges. 50% of extra head charges will apply for child between 3 to 8 years of age. 100% extra head charges will apply for child above 8 years of age.

Date change request

  • Free before 15 days of check-in .

  • Cancellation policy applies within 14 days of check-in.

Terrain/Location challenges

Being located on a mountain slope, navigation through this property requires climbing up and down many steps at a time.

Do check room pages to see the step count to desired room. Being physically fit and mentally strong is imperative to enjoy this property. If this may be a concern for any reason such as health reasons, disability etc this property may not be ideal for stay. Being cautious of the terrain and staying few feet away from any steep areas is imperative to avoid accidents. You must stay close to the children and hold them at outdoor areas to avoid any risks/dangers.

Please note: TeHyCa will not be held responsible or liable for any injuries, harm, accidents, damage, or losses that may occur due to the challenging terrain, steep areas, or any natural features of the property. No refunds or compensation will be provided for incidents of this nature.

As we are located in a remote location with a challenging terrain, our services may differ from typical hotels. There is no 24/7 reception services & rooms is cleaned only on advance request post check-in. We limit room service to 3 meal times a day and kindly ask that all service requests/food orders be placed together a few hours. Although we cannot guarantee precise delivery time of requests/food orders, we try our best, given the circumstances of the day. We by no means identify ourselves as a luxury property. We are best enjoyed by those who find luxury immersing themselves in nature and having a spirit of adventure.

Construction & Structural Limitations

The accommodation units at TeHyCa (cabins and smart pod) are thoughtfully designed semi-permanent structures intended to blend with the natural surroundings. While they are built to be safe and comfortable for guests, they are not engineered to the same specifications as conventional RCC buildings. Like any light-weight construction, they may not withstand extreme conditions or rare events such as earthquakes, cyclones, strong winds, exceptionally heavy rains, landslides, or other severe situations.

By booking, guests acknowledge and accept the inherent risks of staying in a nature-immersed property like TeHyCa, including the structural limitations of semi-permanent construction. TeHyCa will not be held responsible or liable for any injury, loss, or damage should a structural failure or any such event occur, regardless of the cause.

Wildlife & Pets

TeHyCa is part of local nature, blessed to be in a location where flora and fauna is blooming and within close proximity to the dense forest. Kodaikanal is also a wildlife sanctuary and so do not be surprised to see all types of wildlife all around Kodaikanal and TeHyCa including large animals like bisons, wild boar, dogs to smaller ones like monkeys, porcupines, squirrels, rabbits & rats, insects like spiders, butterflies, moths, houseflies, bugs, beetles, bees & wasps, reptiles like snakes and lizards and birds like eagles, sparrows, hoopoes, peacock.

In addition, the property owner’s pets (including a St. Bernard dog) roam freely across the property. These pets and wildlife may approach guests and there is always a possibility of injury, harm or damage even without any provocation.

Although many of them are harmless, some may cause harm if touched, approached or if they feel threatened. Thus we urge you, while moving around in the night only with a light on, stay in the room if a wild animal or pet is spotted outside & respect wildlife and pets by maintaining a safe distance.

Our cleaning standards are at the highest, but that doesn’t stop the occasional insect, slug , flies, frog, lizard or mouse from visiting the room. Housefly numbers can increase dramatically at certain times of the year and may appear in the rooms.

Please consider this before booking and do not book at TeHyCa if you are not comfortable with occasional encounters with wildlife or freely roaming pets. TeHyCa will not be held responsible or liable for any injuries, harm, damage, or losses caused by wildlife or the property’s pets, whether or not there is any provocation. No refunds or compensation will be provided for incidents of this nature.

TeHyCa sees animals as friends, not enemies.

Parking

TeHyCa does not have private parking within its premises. Parking is on the side of the road touching TeHyCa next to the entry gate. Parking is at owners risk.

Food

TeHyCa is only a provider of unique stays. TeHyCa does not have a kitchen. Food is available on order from nearby restaurant delivered to your room. See Food & Beverages

Third party products and services

TeHyCa is not responsible for quality of product/services by third parties such as food vendors, tours and taxi operators etc.

Power Backup

We provide power backup between 8 am and 11 pm during power failure. There maybe upto 20 minutes lag time to switch to standby power supply. During times of low voltage or on power back up, high intensity electricity equipment's like microwave & kettle may fail to work.If the generator has been on for 4 hours continuously,we have to shut it down for 45 minutes to cool down before restarting it. In extremely bad weather conditions, we may have to switch off power back up to save electricals. At times of generator failure, there maybe no power for extended periods of time even days.

Guest Damages

TeHyCa charges for loss/damage of property or belonging during your stay. Do not take furniture/items designed for indoor use outdoors, such as wooden items, cushions/pillows, electronics which can be damaged by external conditions such as moisture/wind/sunlight. Charges for loss/damage of any TeHyCa property/belongings will be many times higher than the item damage repair/replacement cost to factor in cost of transport, time, effort etc as deemed fit by management.

Guest is responsible for all loss/damage of room items/cutlery between check-in and check-out. We urge you to leave door and windows locked when outside the room and do not leave any personal belongings or TeHyCa belongings outside, if not around it, as monkeys/wind/rain could damage or take it away.

Local Employement/Language Barrier

TeHyCa provides great majority of employment to local people primarily from nearby areas. This is part of our vision to contribute to local community. The local people of the region are also better suited for the physically challenging work environment at TeHyCa. Due to this the primary language of communication/fluency is Tamil and only a minimal level of fluency in other languages. If ever faced with severe language barrier, please feel free to request staff to speak with someone else with a better understanding of the language spoken.

Technical Failures

Smart features of the the Smart pod/Cabin are prone to failure and can take weeks to replace/repair and may sometimes not work during your stay. You may still be able to operate it manually!

Being in a remote location, if anything fails to function, we may sometimes not be able to fix immediately and may take very long to be rectified. E.g., long power outage and generator fails to function. Be prepared for a completely off the grid experience at any point in time and may last the duration of your stay.

Pets

TeHyCa is not a pet friendly property.
